Murray Edwards College (University of Cambridge)

Following competitive tendering, Clockwork Removals were selected to relocate library collections and equipment for the prestigious Murray Edwards College (part of University of Cambridge). The relocation was part of large scale refurbishment works that took place under strict conditions laid down by English Heritage.

Core Requirement

• Protect/Dust-Proof books and shelving to remain on-site with specialist protective covering.

• Packing, transporting and unpacking 140 crates of archive collections to Gurton College.

• The archive collections will need to be returned to Murray Edwards College once the refurbishment has been completed.

• Pack, transport and store 600 metres of library collections at our specialist storage facility in London for 8 weeks.

• Return library collections for our storage facility at the end of the refurbishment works.

• In addition, organise an internal relocation of 1.26 kilometres of library collections. Books were spread over four levels within the building.

• Move all furniture into our storage facility and redeliver eight weeks later.

Key Challenge

Due to external factors and influences Clockwork had less than two weeks to plan and organise the whole project. However, we pride ourselves on our flexible but thorough and professional approach.

Clockwork’s Solution

Our project team attended meetings with all key people at University of West London to formulate a comprehensive move plan. The following points were organised at the meeting:

• Logistics details
• Health & Safety
• Route and Access Points
• Crew allocation and resourcing including details about the move management team, their responsibilities and the escalation process.
• Cataloguing

Crates were catalogued using our specialist cataloguing strategy which corresponded to the agreed reorganisation plan that Murray Edwards required.

All library collections were packed and transported first, following by library racking and furniture. The books and shelving protected by specialist protective covering were moved at the very end.

Once the refurbishment was completed our first task was to remove the specialist protective covering from the books and shelving at Murray Edwards College Library.

Archive collections at Gurton College were redelivered and unpacked at a later date.

Result

With such tight timescales, effective planning of this project was critical. The reorganisation was managed within budget and within the allocated time, even with numerous changes throughout the move.
